One visit's journey from unfilled to done, and the pieces that make each step quicker.

From request to completed visit

    Request

    A visit is booked, or a repeating visit comes due, or a client asks for care. It lands on the schedule as a shift.

  2. 2

    Match

    CareMatch ranks the caregivers who are available, qualified for what the client needs, and close enough to get there.

  3. 3

    Offer

    You send the offer to the best caregiver, or to a few at once, from the same screen.

  4. 4

    Accept

    The caregiver accepts or declines on their phone. An acceptance updates the schedule immediately; a decline moves you to the next name.

  5. 5

    Visit

    The caregiver sees the visit, the client's address and the care instructions you wrote.

  6. 6

    Check in and out

    Check-in and check-out record the time and the location, and note whether it was at the client's address.

  7. 7

    Complete

    The finished visit joins your hours and visit records, ready to export for payroll and billing.

For an open visit CareMatch lists the people who are free, qualified for what the client needs, and nearby, with a score for each. Open any score to read why it is what it is, then send the offer to the top name or to the top three.

Real driving time, not distance on a map

A caregiver across a river can be close on the map and far by road. CareMatch asks for the actual route, so the person at the top of the list is the one who arrives first.

Availability and time off, in one week

Each caregiver sets the hours they can work. They see the visits they have been offered or assigned beside them, and a time-off request waits for your review in the same place.

What the caregiver needs at the door

Caregiver availability

Each caregiver sets the hours they can work each week. Time off requests are approved or declined in the same place.

Client requirements

The services each client receives, and the care instructions, emergency contacts and notes on getting in that go with them.

Skills matching

Only caregivers qualified for the services a visit needs are suggested for it.

Distance and location

Candidates are ranked by real driving time to the client, not by distance on a map.

Hours and overtime

You set the overtime threshold. Overtime breaches and double-bookings appear as conflicts for you to resolve.

Open-shift management

Visits with no caregiver are kept in front of you, with who could cover them.

Repeating visits

Clients and caregivers booked together week after week, with any week that needs cover called out.

Messages

Send and read messages with caregivers and clients without leaving the product.

GPS check-in

Check-in and check-out record where the caregiver was and whether that was within range of the client's address.

Reports and exports

Hours worked and visit records, exported for payroll and billing. EVV-ready visit data can be exported too.

What CareMatch does not do

It is scheduling software, not a payroll service: it exports the hours and visit records your payroll needs, but it does not run payroll or pay anyone. It is for non-medical home care, so it does not hold medical records.
