How CareMatch Scheduler handles personal information. Last updated 21 September 2026.

Who holds this information

CareMatch Scheduler is a product of Purple Narwhal Productions LLC, a Florida limited liability company, doing business as CareMatch Scheduler.

CareMatch Scheduler is software used by home-care agencies to run their scheduling. The agency decides what information to record about its caregivers and clients and why; CareMatch stores and processes it on that agency’s behalf. If you are a caregiver or a client, your agency is the right first point of contact about your records, and we act on their instructions.

Each agency’s data is kept separate from every other agency’s. No agency can see another’s caregivers, clients or visits.

What is recorded

Staff — name and email address, so they can sign in and so actions can be attributed to a person.

Caregivers — name, home address, phone number, the services they are qualified for, their weekly availability, and a photograph if the agency adds one. The photograph exists so a client knows who is arriving at their door.

Clients — name, address, phone number, the services they receive, care instructions written by the agency, emergency contacts, notes on getting in, and where documents such as an advance directive are kept. This is care information and is treated as sensitive.

Visits — when a visit was scheduled, when the caregiver actually started and finished, which tasks were completed, and notes left for whoever visits next.

Messages — messages sent between an agency, a caregiver and a client about a visit.

Location

A caregiver’s location is recorded at two moments only: when they tap “on my way”, and when they check in at a visit. Each is a single reading taken at the tap.

CareMatch does not follow anyone during the day, does not record a route, and holds no location for a caregiver who is not currently on a visit. Check-in location is compared with the client’s address so the agency can verify the visit happened where it was meant to.

Text messages

Texts about visits are sent only to people whose consent has been recorded, and that consent is stored with how and when it was given. Replying STOP to a message ends them. We do not send marketing texts.

Mobile phone numbers and text-message consent are not shared with third parties or affiliates for marketing or promotional purposes. The full terms of the text-message program are in the SMS Terms.

Email

Email is sent only for account invitations, password resets and service notices. Every recipient is a person an agency administrator specifically invited. We do not send marketing email, and we do not buy, sell, rent or share address lists.

Who can see what

An agency’s administrators and schedulers see that agency’s caregivers, clients and visits. A caregiver sees their own visits, and the care information for the clients they are assigned to — not the agency’s wider roster. A client sees their own visits and the caregiver assigned to them.

Visit conversations are visible to the agency. That is stated in the app where those conversations happen, because people should know who is reading before they write.

Companies that process data for us

Amazon Web Services — hosting, database storage, sign-in, email and text messaging, in the United States.

Microsoft Azure Maps — turning addresses into map coordinates and calculating driving distances between them, so the right caregiver is matched to a visit. Addresses are sent for this purpose; names and care details are not.

How it is protected

Information is encrypted in transit and at rest. The database and the file storage are encrypted, and file storage is closed to public access. Every account requires multi-factor authentication — there is no way to turn it off for an individual account. Access within an agency is limited by role, and administrative actions are recorded in an audit log the agency can read.

How long it is kept

Records are kept while the agency’s account is active, because a care history is the point of the record. Care and visit records may also be subject to retention periods set by law or by the agency’s own obligations.

An agency may ask for its data to be exported or deleted by writing to us. A caregiver or client should ask their agency, who can act on the record directly.
